Role Summary
Blue Leaf Energy is seeking an experienced Executive Assistant and Office Manager to report to the Chief People Office (CPO). This role will be responsible for administrative and organisational support to the C-suites and overseeing general office and event management which include ensuring the day-to-day running of the head office and effectively to meet the needs of the office and the group.
How You Will Make an Impact
a) Office Management & Administration
Oversee the day-to-day operations of the office, ensuring a professional, efficient, and welcoming work environment
Manage office facilities, vendors, service providers, and contracts, ensuring cost-effectiveness and service quality
Coordinate procurement and inventory of office supplies and equipment
Act as the primary point of contact for office-related matters and operational queries
Support employee onboarding and offboarding, including workspace setup, access, and coordination with relevant teams
Plan and coordinate internal meetings, events, and employee engagement activities
Responsible for event management in office including event set-up, event co-ordination, liaising with vendors and internal departments
Develop, maintain, and improve office policies, processes, and administrative systems
Be one of the champions of the Staff Expenses and Travel system
Own and manage card payment channel strategy and relations
Own and manage the travel program and system
Other ad hoc duties as assigned
b) Executive Assistant Support
Provide high-level administrative and organisational support to C-suite such as submission of expense claims
Manage calendars (where required), schedule meetings, and coordinate domestic and international travel
Support strategic initiatives, special projects, and confidential matters as required
Other ad hoc duties as assigned
c)Corporate Group Support
Manage the group’s corporate insurance program
Coordinate with other Office and Business Managers located in other jurisdictions to deliver cohesive services to the group
Manage and help design the Travel and Expenses policy with the view of also harmonising with relevant Finance system to adhere to and in alignment with other relevant policies
Other ad hoc duties as assigned
What Makes You a Great Fit
Minimum bachelor’s in business administration or related discipline.
Minimum of 6-8 years of experience in Executive Assistant/Office Management role
High level of professionalism, confidentiality, and integrity
Excellent interpersonal, communication, and coordination skills
Proactive, resourceful, and solutions-oriented
Strong time-management and prioritisation capabilities
Proficient in MS Office suite (Excel, Word, PowerPoint, Outlook, Teams)
