About the Role We are looking for a highly motivated International Relations Officer to join the team behind ASEAN CAREER FAIR with JAPAN. This role focuses on university outreach, relationship building, event promotion, and coordination with vendors and partners, particularly in preparation for ASEAN CAREER FAIR with JAPAN 2027, which will be held in Singapore on February 20, 2027 . As a member of the International Relations Team, you will help expand partnerships with universities across Southeast Asia and contribute to creating meaningful career opportunities by connecting Southeast Asian talent with Japanese companies. About ASEAN CAREER FAIR with JAPAN ASEAN CAREER FAIR with JAPAN is the longest-running Japan-focused career fair connecting talented students and young professionals from across Southeast Asia with leading Japanese companies. Our mission is to create meaningful cross-border career opportunities while strengthening educational and professional ties between Southeast Asia and Japan. Key Responsibilities 1. University Outreach Contact existing and prospective university partners primarily via email. Arrange meetings with career centers, international offices, faculties, and other relevant university departments. Build and maintain long-term professional relationships with university representatives across Southeast Asia. Follow up promptly and professionally on ongoing communications. 2. Meeting Participation and Relationship Management Attend online meetings with university representatives. Support meeting preparation, agenda development, and follow-up communication. Serve as the primary point of contact for assigned university partners. Maintain accurate records of communications, meeting outcomes, and next steps. 3. Webinars, Lectures, and Student Engagement Support webinars, information sessions, and university lectures promoting ASEAN CAREER FAIR with JAPAN. Participate in presentations and, when appropriate, serve as a speaker or co-speaker. Prepare presentation materials that clearly communicate the value of international careers with Japanese companies. Support promotional activities targeting students and alumni. 4. Documentation and Project Coordination Prepare presentation decks, reports, meeting minutes, and other project-related materials. Track outreach progress, university responses, and follow-up actions. Provide regular progress updates to the internal team. Coordinate effectively with team members through Slack, email, Zoom, and shared documents. 5. Vendor and Event Coordination Support Coordinate with vendors, event partners, and local stakeholders in Singapore as needed. Support preparations for event logistics and operations. Help ensure accurate and timely information sharing among all stakeholders. 6. Onsite Event Operations (Singapore) High-performing team members who demonstrate strong commitment throughout the project may be invited to join the onsite operations team for ASEAN CAREER FAIR with JAPAN 2027 in Singapore. For selected members, travel and accommodation expenses will be fully covered by the company. This is an opportunity to work directly with universities, students, Japanese companies, and international partners during the final stage of the project. Qualifications Required Business-level English proficiency. Strong interest in international education, career development, and cross-border collaboration. Excellent professional communication skills for interacting with universities and external partners. Ability to work independently and responsibly in a remote environment. Strong organizational skills, with the ability to provide timely updates and communicate proactively. Basic proficiency with presentation and spreadsheet software, including Google Slides, Microsoft PowerPoint, Apple Keynote, Google Sheets, Microsoft Excel, or Apple Numbers. Familiarity with communication tools such as Slack, Zoom, email, and WhatsApp. Cultural sensitivity and professionalism when working with people from diverse backgrounds. Availability to work approximately 20 hours per month with a flexible schedule. Preferred Currently enrolled in, or a graduate of, a university in Southeast Asia. Educational experience in Japan. Strong motivation to strengthen connections between Southeast Asia and Japan through education, careers, and international collaboration. Experience communicating with universities, career centers, international offices, or student organizations. Experience in project coordination, partnership development, event management, or student engagement. Confidence working in multicultural and international environments. Willingness and ability to travel within Southeast Asia when required. Commitment to the Project ASEAN CAREER FAIR with JAPAN is more than a short-term administrative assignment. It is a multi-month international project where trust is built gradually with universities, students, companies, vendors, and fellow team members. We are looking for individuals who expect to remain involved until the completion of the project in February 2027 . We understand that unexpected academic, personal, or professional circumstances may arise. However, we expect team members to communicate openly and as early as possible if their availability changes, allowing the team to adjust responsibly and maintain strong relationships with our external partners. Consistency, accountability, and professional communication are highly valued throughout this project. Working Hours Approximately 20 hours per month. Working hours are flexible, but regular communication, responsiveness, and timely task completion are expected. Employment Period September/October 2026 – February 2027 Compensation JPY 1,200 per hour. Travel and accommodation expenses will be covered for approved business travel, including onsite event participation.
