Introduction
Responsibilities
Office Renovation Project Support
Gain hands-on exposure to a live office renovation and workplace transformation project, supporting how employees experience and use the workplace.
Coordinate and organise office layout plans, seating arrangements, design proposals and project-related documents.
Consolidate feedback from employees and business units on workspace needs, seating requirements and facilities improvements.
Track project decisions, approvals, changes and key communication records to ensure clear documentation throughout the renovation journey.
Monitor project administration matters, including purchase request status, vendor documentation, delivery schedules and invoice tracking.
Coordinate meetings with project managers, consultants, designers, contractors and internal stakeholders, including preparing minutes and tracking follow-up actions.
Support communication between the Administration team and other departments involved in the renovation project.
Administration & Facilities Support
Support the day-to-day operations of the Administration team, gaining exposure to facilities management, office operations and internal service delivery.
Assist with documentation, filing, data entry and maintenance of administrative records.
Coordinate calendar arrangements, meeting room bookings, appointments and internal logistics.
Prepare internal communications, notices, email drafts, simple reports, trackers, meeting minutes and presentation materials where required.
Provide hands-on support for ad hoc administrative tasks and daily operational activities.
Requirements
Currently pursuing a university degree in Business Administration, Facilities Management, Project Management, Real Estate, Building & Estate Management or a related discipline.
Comfortable using Microsoft Office applications, particularly Excel, PowerPoint, Word, Outlook and Teams; familiarity with AutoCAD would be an advantage.
Organised and detail-oriented, with the ability to manage multiple tasks and follow through on action items.
Proactive, responsible and willing to take on both coordination and hands-on operational work.
Curious about workplace planning, office operations, renovation projects, facilities management and employee experience.
